Web service for managing invoices and payments
We simplified financial management, increased transparency and sped up processing of incoming payments
About the project
The client needed a tool for managing cash flows. Invoices were created in different systems, incoming payments were tracked manually, and there was no up-to-date picture of payments. This made it harder to control receivables and slowed down decision-making.
Tech stack
Task
Create a single service for issuing invoices, tracking incoming payments and controlling settlements with customers. The system had to be easy to use and suitable for daily work.
Constraints
High calculation accuracy and reliable transaction processing. Integrations with external payment systems and correct handling of delayed payments or incomplete data.
Solution
We built a web service that combines work with invoices and payments in one interface: creating invoices, tracking statuses and a full settlement history. We implemented automatic accounting of incoming payments that links payments to invoices and updates mutual settlements. We added tools for quickly assessing the current financial position.
Challenges and how we solved them
Payments do not always arrive with complete information and may be delayed. We implemented automatic payment matching with the option of manual correction. For integrations with external systems we built robust error handling and retries for data loading.
Further development
After launch the client is developing the system toward analytics and cash flow forecasting tools.
Result
Time spent on invoices and payments went down, errors decreased and the financial picture became transparent. The business can quickly track incoming payments and control receivables without manual reconciliation.
